How to Convert a Bank Statement PDF to Excel

A bank statement is designed for reading, not data entry. Copying it into Excel often merges descriptions with amounts, repeats page headers, or turns numbers into text. A safer workflow reconstructs the transaction table and checks the result against balances printed on the statement.
1. Start with the complete PDF
Download the original PDF from the bank when possible. Do not print and rescan a native PDF: that removes its searchable text layer. Use every page belonging to one statement period, because an omitted page can make an otherwise clean spreadsheet incomplete.
2. Check whether the PDF is native or scanned
A native PDF contains selectable text. A scanned statement contains page images and needs OCR. BankExcel Converter detects the page type in the browser and uses same-origin English OCR only for pages that need it. Password-protected or damaged files must be corrected before conversion.
3. Reconstruct the transaction columns
The useful output normally includes date, description, debit, credit, signed amount, running balance, currency, and source page. Repeated headers and wrapped descriptions should be treated as layout, not as transactions.
4. Review the source evidence
Compare every flagged row with the corresponding PDF page. Pay special attention to signs, parentheses, DR or CR markers, thousands separators, and faint decimal points. Correcting a row should preserve the original recognized text so another reviewer can audit the change.
5. Verify the balance chain
For statements with running balances, each row should satisfy previous balance plus credit minus debit equals current balance. The statement summary should also satisfy opening balance plus credits minus debits equals closing balance. A mismatch does not prove which row is wrong, but it tells you the export needs review.
6. Download and inspect Excel
Open the XLSX and confirm that dates and amounts are real spreadsheet values, not text. Review the Transactions, Statement Summary, and Review Log sheets before posting anything to bookkeeping software. See the fictional sample output for the exported structure.
